In most cases, your target audience will consist of average Joes and Janes who mainly want information in short order. Creative narrative landscapes and acrobatic prose are all well and good in literature, but not in website content, newsletters, or manuals. If you want your writing to be easily understood, leave out the technical jargon and legalese,&nbsp;as well.&nbsp;<\/p>\n\n\n\n<p>Plain language is meant to give readers all the information they need as quickly and simply as possible. Meanwhile, there\u2019s an even clearer form of expression known as \u201csimple language\u201d.&nbsp;Both of these language concepts&nbsp;originated in the&nbsp;<a href=\"https:\/\/www.plainlanguage.gov\/resources\/articles\/beyond-a-movement\/\" target=\"_blank\" rel=\"noreferrer noopener\">plain language movement<\/a>, which emerged in the United States in the late 1960s. At that time, many U.S. citizens had had enough of the convoluted ways in which governmental agencies communicated and began demanding more straightforward information.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The difference between simple language and plain language&nbsp;<\/h2>\n\n\n\n<p>In German, the two language concepts differ in terms of their respective target groups. Simple language (leichte Sprache) is specifically geared toward&nbsp;people who&nbsp;face challenges learning&nbsp;\u2013 due to difficulties in reading, dementia, or a simple lack of German language skills, for example. In doing so, they follow a&nbsp;<a href=\"https:\/\/www.leichte-sprache.org\/wp-content\/uploads\/2017\/11\/Regeln_Leichte_Sprache.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">defined&nbsp;set of rules<\/a>&nbsp;(link in German).&nbsp;<\/p>\n\n\n\n<p>Plain language, meanwhile, is designed for a much larger segment of the population. Germany is home to an increasing number of people who seldom read, or mainly read short texts. It\u2019s often difficult for these readers to understand complicated material.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Plain-language texts are more complex than those written in simple language, but still try to avoid overwhelming the reader. In contrast to simple language, there are no official rules on plain language in Germany. It is based on a number of basic principles that are meant to improve text comprehension.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Guidelines for plain language&nbsp;<\/h2>\n\n\n\n<p>Plain language is meant to reflect the everyday language used by the target group in question. Instead of imitating the language of your readers, you need to write so they can follow what you mean without issue. If your target audience consists of specialists, you don\u2019t have to worry about including some technical terms. Texts intended for laypersons, on the other hand, should avoid that type of jargon.&nbsp;<\/p>\n\n\n\n<p>Here are some more tips on how to simplify your texts using plain language.&nbsp;<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">1. Word choice and sentence structure&nbsp;<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Avoid using foreign-language words and other uncommon terms.\u00a0If there\u2019s no way around them, explain what they mean.\u00a0<\/li>\n\n\n\n<li>Keep the structure of your sentences simple.\u00a0Try not to use parentheses or subordinate clauses. Having more than two commas in a sentence tells the reader that things are getting complicated.\u00a0<\/li>\n\n\n\n<li>Use adjectives sparingly.\u00a0They\u2019re often unnecessary or not all that objective. In most cases, omitting them won\u2019t obscure the message of your text.\u00a0<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Try to stick with verbs.\u00a0Steer clear of substantivizations and compound nouns. When compounds are necessary, use hyphens to make sure their meaning is clear. Consider the\u00a0difference between \u201ca study on 10-year-old children\u201d and \u201ca study on 10 year-old children\u201d, for instance.\u00a0\u00a0<\/li>\n\n\n\n<li>Avoid modal verbs\u00a0like should, could, and would.\u00a0<\/li>\n\n\n\n<li>Limit each sentence to 14 words.\u00a0You can formulate sentences of varying length without going over that number.\u00a0<\/li>\n\n\n\n<li>Be wary of the passive voice and negation.\u00a0Address your readers using positive, straightforward sentences.\u00a0\u00a0<br>Ambiguous:\u00a0Going for a walk after 8:00 p.m. is not prohibited.\u00a0\u00a0<br>Clear:\u00a0You may go for a walk after 8:00 p.m.\u00a0<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">2. Clarity of content&nbsp;<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Give your text a logical structure.\u00a0Answer the five Ws (who, what, when, where, and why), leave out non-essential information, and make sure your sentences have a coherent flow.\u00a0<\/li>\n\n\n\n<li>One thought per sentence; one idea per paragraph.\u00a0This guideline promotes comprehension and helps readers identify important passages when skimming a text.\u00a0<\/li>\n\n\n\n<li>Write with purpose.\u00a0It might sound banal, but it\u2019s important to use the same terms for the same things and different terms for different things. Avoid synonyms \u2013 and metaphors, for that matter.\u00a0<\/li>\n\n\n\n<li>Make sure your text doesn\u2019t require prior knowledge.\u00a0Give your readers all the information they need to understand your message.\u00a0<\/li>\n\n\n\n<li>Write in a descriptive way.\u00a0Using clear language will make your text more understandable. Opt for \u201cprocessor\u201d instead of \u201cCPU\u201d, for instance, and choose examples that speak to your readers\u2019 experience.\u00a0<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Repeat key information.\u00a0This will make it more likely to register with your audience.\u00a0<\/li>\n\n\n\n<li>Be aware of things that often frustrate readers.\u00a0These include\u00a0technical or financial jargon, legalese, hipster slang, and neologisms in general.\u00a0<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">3. The visual aspect&nbsp;<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Structure your writing.\u00a0Avoid monolithic blocks of text by using short paragraphs interspersed with informative subheadings and structured lists.\u00a0<\/li>\n\n\n\n<li>Make use of illustrations.\u00a0Present your information using vivid and intuitive diagrams, timelines, pictograms, and other such elements.\u00a0<\/li>\n\n\n\n<li>Charts\u00a0are also great for making comparisons or listing figures.\u00a0<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Plain language in multilingual texts&nbsp;<\/h2>\n\n\n\n<p>Even native speakers often find it hard to forgo their usual style of writing in order to produce simpler texts.
